Digital systems checklist

This checklist helps teams identify the digital systems they depend on and record the minimum information needed for continuity, security, and handover.

1. Identity and public presence

  • List official domains and public websites.
  • Record the registrar, DNS provider, hosting provider, renewal date, and account owner.
  • Confirm that recovery contacts are current and not tied to a single unavailable account.
  • Identify public channels and who can update them.

2. Access and ownership

  • Identify administrators for each critical system.
  • Confirm multi-factor authentication is enabled where available.
  • Review whether shared accounts can be replaced with named access.
  • Record emergency access and escalation routes.

3. Records and documentation

  • Identify where operating documents and decision records are stored.
  • Confirm that key records have descriptive names and owners.
  • Document major system decisions with date, rationale, and reviewer.

4. Review rhythm

Repeat this checklist every quarter for critical systems and every six months for lower-risk systems. Record changes so the organization can see how its infrastructure evolves.
