Digital systems checklist
This checklist helps teams identify the digital systems they depend on and record the minimum information needed for continuity, security, and handover.
1. Identity and public presence
- List official domains and public websites.
- Record the registrar, DNS provider, hosting provider, renewal date, and account owner.
- Confirm that recovery contacts are current and not tied to a single unavailable account.
- Identify public channels and who can update them.
2. Access and ownership
- Identify administrators for each critical system.
- Confirm multi-factor authentication is enabled where available.
- Review whether shared accounts can be replaced with named access.
- Record emergency access and escalation routes.
3. Records and documentation
- Identify where operating documents and decision records are stored.
- Confirm that key records have descriptive names and owners.
- Document major system decisions with date, rationale, and reviewer.
4. Review rhythm
Repeat this checklist every quarter for critical systems and every six months for lower-risk systems. Record changes so the organization can see how its infrastructure evolves.
